How to choose a turnover documentation tool: five questions to ask

Choose a turnover tool by testing the recording workflow with the actual person who will use it, then checking how easily a host can retrieve the original record later. A feature list is less useful than one complete trial turnover. These five questions expose the tradeoffs without assuming one tool suits every property.

- Does the cleaner need to install an app or create an account? A browser link reduces installation friction, but a sign-in may still be required.
- Does it capture video of every room, photos, or both? Video gives continuity; close-up photos can show small details. Check whether the workflow makes skipped rooms obvious.
- Can the original be edited or replaced? Ask how the service preserves the uploaded source, what integrity checks it records, and whether any AI output is kept separate.
- Is each record dated and filed by property and turnover? Try finding a specific stay from months earlier without knowing the cleaner's phone or message thread.
- Does it show what changed between pre-clean and post-clean views? Check whether a comparison is visible and whether the host can trace every flagged difference back to the source footage.
Run a realistic trial
Use a normal turnover, not a staged demo. Ask the cleaner what took extra time, review the record from a phone, and check the export. Do not equate a hash or timestamp with a platform accepting a claim; those features address file integrity and timing, not responsibility or eligibility.

Is a checklist alone enough?
A checklist records that someone marked a task done. If later condition questions matter, pair it with dated source imagery.
Should AI be a deciding criterion?
Treat it as a review aid. Test whether a host can verify and dismiss its flags against original footage.
