TurnAudit Terms of Service

1. Acceptance of Terms

These Terms of Service (“Terms”) govern your access to and use of the TurnAudit platform, website, and services (collectively, the “Service”) operated by TurnAudit, LLC. (“TurnAudit,” “we,” “us,” or “our”). By creating an account, accessing, or using the Service, you agree to be bound by these Terms. If you do not agree, do not use the Service.

If you are using the Service on behalf of a business or organization, you represent that you have authority to bind that entity to these Terms.

2. Description of Service

TurnAudit provides a turnover documentation and condition-record platform with advisory AI review for short-term rental operators. The Service allows users to record property baselines, capture pre-clean and post-clean walkthroughs, and preserve eligible uploaded pre-clean and post-clean originals with cryptographic integrity protection as a condition record. Baselines are comparison references under a separate lifecycle. An advisory AI review layer compares walkthroughs against the baseline and produces advisory review summaries that point you to moments worth reviewing; the uploaded original recordings, not the AI output, are the record. The Service includes web-based tools for managing properties, inviting cleaners, reviewing walkthrough footage and advisory summaries, and exporting documentation.

3. Account Registration

To use the Service, you must create an account. You agree to provide accurate, current, and complete information during registration and to keep your account information updated. You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. You must notify us immediately at support@turnaudit.com if you suspect unauthorized access to your account.

4. Subscription Plans and Billing

4.1 Plans

The Service is offered through subscription plans with varying feature sets and usage limits. Current plans, pricing, and included features are described on our pricing page. We reserve the right to modify plan offerings and pricing with 30 days’ notice to existing subscribers.

4.2 Free Trial

Accounts may include a promotional trial period as specified at signup. Any such trial provides access to the Service for a limited time and number of turnovers, as described at the time of signup. At the end of a trial, you must subscribe to a paid plan to continue using the Service.

4.3 Billing

Paid subscriptions are billed in advance on a monthly or annual basis, depending on the billing cycle you select. Payments are processed through our third-party payment processor. You authorize us to charge your designated payment method for recurring subscription fees.

4.4 Cancellation

You may cancel your subscription at any time from your account settings. Cancellation takes effect at the end of your current billing period. You will retain access to the Service until the end of the paid period. We do not provide prorated refunds for unused portions of a billing period.

4.5 Refunds

All fees are non-refundable except where required by applicable law or as explicitly stated in a promotional offer. If you believe you have been incorrectly charged, contact billing@turnaudit.com within 14 days of the charge.

5. Acceptable Use

You agree to use the Service only for its intended purpose: managing turnover documentation and advisory review for properties you own or manage. You agree not to:

Use the Service for any unlawful purpose or in violation of any applicable laws or regulations.
Upload content that is defamatory, obscene, threatening, or that infringes on the rights of others.
Attempt to gain unauthorized access to the Service, other accounts, or related systems.
Reverse engineer, decompile, or disassemble any part of the Service.
Use the Service to conduct surveillance of individuals or for any purpose unrelated to property turnover documentation.
Use automated scripts, bots, or scraping tools to access the Service without our written consent.
Resell, sublicense, or redistribute the Service or any output generated by the Service without our written consent.

6. Your Content and Data

6.1 Ownership

You retain ownership of all content you upload to the Service, including walkthrough recordings, property photos, property rules, and condition-record data (“Your Content”). We do not claim ownership of Your Content.

6.2 License to TurnAudit

By uploading content to the Service, you grant TurnAudit a limited, non-exclusive license to process, store, and analyze Your Content solely for the purpose of providing the Service to you. This includes transmitting still frames extracted from your walkthroughs to third-party AI services for analysis; your original video files are never transmitted to third-party AI services. This license ends when you delete Your Content or close your account, except that it continues only as needed for sealed write-once originals, media under legal hold, security records, and other retention required by law or described in Section 6.4.

6.3 AI Processing and Model Improvement

Still frames extracted from your walkthroughs, never your original video files, are processed by trusted third-party AI services under their API terms to generate your advisory review summaries. TurnAudit does not use walkthrough media or your confirm/dismiss feedback to train or improve detection models unless you explicitly opt in. You may withdraw that consent at any time by emailing privacy@turnaudit.com or, where available, in Settings, and withdrawal does not affect your service. Your original evidence files are never altered by any of this processing. Recordings are made in the unoccupied property after guest checkout and are not intended to capture people.

6.4 Data Retention

When a pre-clean or post-clean walkthrough enters our evidence pipeline, the original walkthrough video (“master recording”) is copied into tamper-evident, write-once storage. Locked originals are retained for about 12 months from capture and are then deleted through a scheduled storage lifecycle process. Working copies and derived analysis frames are automatically deleted approximately 30 days after a turnover is completed (approximately 90 days on the free trial). Frames flagged as issues and advisory review results are kept as part of the turnover record while your account is active. Baseline reference recordings are retained while your account is active. If you need the original longer, export and preserve the evidence package before the retention period ends and contact us at privacy@turnaudit.com. You may export your original recordings and their integrity manifest during the retention period. If you explicitly opt in to model-improvement use, that use is described in Section 6.3 and in our Privacy Policy, and you may withdraw consent as described there. You may request earlier deletion of account and app data that are not subject to a write-once retention lock by contacting privacy@turnaudit.com; verified requests are honored except where the law requires us to keep the data.

When you delete your account, your account data and app data are removed as described in our Privacy Policy, subject to the preservation obligations described below. Sealed original recordings already in write-once storage cannot be deleted early by you or by TurnAudit. They remain locked until their scheduled expiry, about 12 months from capture, and are then deleted automatically. Export your evidence packages before their retention period ends. Media subject to an active legal hold is preserved until the hold is released.

Issued claim packages. When you issue a claim package (a PDF or ZIP prepared from your sealed records), TurnAudit makes that package available to download for 90 days from the time it is issued. The download deadline is shown when the package is issued and on its download page. You are responsible for downloading and keeping your own copy for your claim. After 90 days TurnAudit deletes the hosted package; the record that it was issued, its content hash, and related audit information are retained under our internal schedule. If a specific preservation obligation applies, TurnAudit suspends deletion of the affected package until that obligation ends. When you delete your account, TurnAudit removes your hosted claim packages; if a preservation obligation applies to any of them, deletion of your account is delayed until that obligation ends. A preservation hold does not affect your ability to cancel your subscription, which you can do at any time. TurnAudit cannot recall a copy you have already downloaded. This 90-day window is a product availability window, separate from the retention schedule for sealed original recordings described above; it does not limit how long you may keep your own downloaded copy.

7. Cleaner Accounts

If you invite cleaners or team members to use the Service, you are responsible for ensuring they understand and comply with these Terms. Cleaner accounts are managed under your subscription and do not have independent billing. You are responsible for the actions taken under cleaner accounts you have invited.

7.1 Text Messages

By providing your mobile number and requesting a code, you consent to receive transactional one-time verification codes by text. TurnAudit does not send marketing texts. Message and data rates may apply, and message frequency depends on the verification or password-reset requests you make. Reply HELP for help or STOP to opt out. A STOP request blocks further codes until you request a new one. Mobile carriers are not liable for delayed or undelivered messages. TurnAudit does not sell your mobile number, and does not share your mobile number or SMS opt-in/consent information with third parties or affiliates for their own marketing or promotional purposes.

8. Advisory AI Review Layer

The Service includes an advisory AI review layer that analyzes walkthrough frames and produces advisory review summaries. These summaries are informational aids that direct your attention to moments in your footage worth reviewing; they are not inspection reports, not a definitive assessment of property condition, not a substitute for professional inspection services, and not the record of property condition. Your uploaded original recordings are the record. AI findings may contain errors or omissions, and you are responsible for reviewing the underlying footage and verifying any AI-surfaced finding before relying on it or taking action. Advisory AI output is clearly labeled and is not part of your verified original evidence; the sealed evidence package is built from eligible uploaded originals, their integrity manifests, and RFC-3161 timestamp tokens when granted.

9. Intellectual Property

The Service, including its design, code, branding, documentation, and AI models, is owned by TurnAudit and protected by intellectual property laws. These Terms do not grant you any rights to our intellectual property beyond the limited right to use the Service as described herein. “TurnAudit” and associated logos are trademarks of TurnAudit, LLC.

10. Third-Party Services

The Service may integrate with or link to third-party services (such as AI providers, payment processors, and analytics tools). Your use of third-party services is governed by their respective terms and privacy policies. We are not responsible for the practices of third-party services.

11. Service Availability

We strive to maintain high availability of the Service but do not guarantee uninterrupted or error-free operation. We may perform scheduled maintenance with advance notice when possible. We reserve the right to modify, suspend, or discontinue features of the Service at any time. For material changes that affect your use, we will provide reasonable advance notice.

12. Limitation of Liability

To the maximum extent permitted by law, TurnAudit and its officers, directors, employees, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, bookings, or revenue, arising from your use of or inability to use the Service.

Our total liability for any claim arising from these Terms or the Service shall not exceed the amount you paid to TurnAudit in the twelve (12) months preceding the claim.

13. Disclaimer of Warranties

The Service is provided “as is” and “as available” without warranties of any kind, express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the Service will meet your requirements, operate without interruption, or be free of errors or defects.

14. Indemnification

You agree to indemnify and hold harmless TurnAudit and its officers, directors, employees, and agents from any claims, damages, losses, liabilities, and expenses (including reasonable legal fees) arising from your use of the Service, your violation of these Terms, or your violation of any third-party rights.

15. Termination

We may suspend or terminate your access to the Service at any time if you violate these Terms, engage in fraudulent or abusive behavior, or for any other reason with reasonable notice. Upon termination, your right to use the Service ceases immediately. Sections that by their nature should survive termination will survive, including Sections 6.1 (Ownership), 12 (Limitation of Liability), 13 (Disclaimer), 14 (Indemnification), and 17 (Governing Law).

16. Changes to These Terms

We may update these Terms from time to time. We will notify you of material changes by posting the updated Terms on this page and updating the “Last Updated” date. For material changes, we will also notify you by email. Your continued use of the Service after changes take effect constitutes acceptance of the updated Terms.

17. Governing Law and Disputes

These Terms are governed by the laws of the State of Delaware, without regard to conflict of law principles. Any disputes arising from these Terms or the Service shall be resolved through binding arbitration in accordance with the rules of the American Arbitration Association, except that either party may seek injunctive relief in court for intellectual property violations. The arbitration shall take place in the State of Delaware.

18. General Provisions

Entire Agreement: These Terms, together with our Privacy Policy and any applicable plan terms, constitute the entire agreement between you and TurnAudit.
Severability: If any provision of these Terms is found to be unenforceable, the remaining provisions remain in full force.
Waiver: Our failure to enforce any right or provision does not constitute a waiver of that right.
Assignment: You may not assign these Terms without our written consent. We may assign these Terms in connection with a merger, acquisition, or sale of assets.
